ISO 27001

The platform is hosted within ISO 27001-certified data centres — the internationally recognised standard for information security management systems, covering risk management, access controls, physical security and incident response.

UK GDPR compliance

Learner data is held and processed in line with UK GDPR requirements. Controls cover data access, retention, deletion and processing. Data export is available on request. A Data Processing Agreement is available for organisations that require it.

Data encryption

Data in transit is encrypted using TLS protocols. Data at rest is encrypted within the Azure hosted environment. All encryption is handled at infrastructure level — no additional configuration is required.

WCAG 2.1 AA compliant

The Aspire360 platform meets Web Content Accessibility Guidelines 2.1 at AA level — suitable for organisations with accessibility obligations under the Equality Act 2010 and public sector accessibility requirements.

Multi-factor authentication

MFA is fully supported across the platform. Organisations can enforce MFA for all users or configure it for specific roles. Works alongside SSO for organisations using Microsoft identity services.

Single sign-on

Aspire360 supports Single Sign-On via Microsoft Azure Active Directory (Entra ID), enabling seamless access for users already authenticated in your Microsoft environment. SSO reduces password management overhead and simplifies onboarding for large organisations. Other identity providers are available — contact us to confirm compatibility with your setup.

Role-based access control

Granular role-based permissions control who can view, create and assign content, access reporting and manage users. Standard roles include learner, manager, administrator and external user. Custom roles can be configured to reflect your organisation's structure, including multi-site and multi-department setups.

External user support

External users — contractors, partners and external stakeholders — can be granted controlled access via defined roles and groups, with appropriate data segregation. Permissions are fully configurable to ensure external users see only what they need to.

SCORM 1.2 and SCORM 2004

Aspire360 is fully SCORM compliant — both SCORM 1.2 and SCORM 2004 are supported. Any SCORM-compatible content can be imported and tracked within the platform. Existing course investments from previous platforms are protected.

REST API

Full REST API access is available for organisations that need to integrate Aspire360 with HR systems, identity providers, reporting tools or other business applications. API documentation is provided. Active integrations include HR and workforce system connections.

Microsoft Teams integration

Aspire360 integrates with Microsoft Teams for virtual instructor-led training delivery. Teams handles the session delivery while Aspire360 manages scheduling, enrolments, attendance recording and learning records — keeping everything in one place.

Report exports

Reports are exportable in CSV and Excel formats for further analysis in your existing tools. All completion, compliance and progress data is available for export. Scheduled automated reports can be delivered to any email address on any frequency.

How learner data is held, processed and protected.

Where is data stored?
All learner data is stored in UK-based Microsoft Azure data centres. Data does not leave the UK at any point during normal platform operation.
Who has access to learner data?
Access to learner data is controlled by role-based permissions within the platform. Aspire 2Be staff access data only where required to provide support or resolve technical issues, and only with appropriate authorisation. We do not sell, share or use learner data for any purpose outside the provision of the Aspire360 service.
What happens to data when a contract ends?
On contract termination, data export is provided to the organisation on request. Data is retained for a defined period following contract end in line with UK GDPR requirements, after which it is securely deleted. Specific retention periods are documented in the Data Processing Agreement.
Is a Data Processing Agreement available?
Yes. A Data Processing Agreement is available for all organisations and is standard on public sector contracts. Contact us to request a copy.
How is a data breach managed?
Aspire 2Be maintains an incident response process aligned to UK GDPR breach notification requirements. In the event of a data breach affecting customer data, we will notify affected organisations within 72 hours in line with our obligations under UK GDPR.
